Booking system for physiotherapists

Online booking for your physio practice, from the first assessment to each follow-up

Macadamia gives your practice a booking page where patients can book assessments, follow-ups and treatments, join rehab or mobility classes and sign up for workshops. Each appointment type has its own length and price, bookings appear in your Google Calendar, and payments go through Stripe into your own account.

Free to start. No card needed until you choose a paid plan.

Appointments and classes

Give each appointment type its own length and price

The appointment types in the dashboard: an initial assessment, a follow-up and a treatment, each with its own length and price.

Assessments, follow-ups and treatments can each have their own length, price and location, and patients book them from the hours you make available. Bookings appear in your Google Calendar, and busy times from the calendars you choose are blocked. You can reserve time before and after each appointment for preparation and cleanup, and hold a patient's regular weekly slot for them. Rehab and mobility classes and workshops are set up on the same booking page, each with its own price and number of places.

  • Assessments, follow-ups and treatments
  • Google Calendar sync
  • A patient's regular weekly slot
  • Rehab classes and workshops

Notes and records

Keep notes on each appointment and each patient

An appointment record with prep, session and follow-up notes and the patient's answers to the booking questions.

Every appointment has its own record, with prep, session and follow-up notes next to the patient's answers to your booking questions. Ongoing notes go on the patient's record, along with their bookings, attendance, packages and payments. Notes can't be edited or deleted, so a correction is added as a new note and the original stays visible. If you turn on sensitive client records, notes are encrypted and can only be read by you, your admins and the physios who see that patient.

  • Prep, session and follow-up notes
  • The patient's booking answers
  • Corrections kept with the original
  • Encrypted sensitive records

Booking an appointment

A booking page patients can use on a phone

A booking page: the next few dates as cards, then this week as a list, with one session booked and one full.

Your booking page has its own web address, so you can share the link or add it to a website you already have. Patients choose an appointment type and see the times that are free, and on the Team plan they can pick a physio or go with whoever's available. They book without an app or a password, answer any questions you've added, and can move their own appointment from their login, up to a deadline you set. Online consultations include your own video link and joining notes in the confirmation email.

  • A choice of physio or any available
  • Online consultations with your video link
  • Patients reschedule from their login
  • Confirmations and reminders by email

Plans and prices

Core is £15 a month, and Team is £25

Every plan has the main booking features, so Free is a good way to get started. The paid plans take no commission on your bookings and put the booking page on your own domain without the Macadamia credit, and on Team several physios can each have their own hours and appointment types.

  • Free

    £0 a month

4% of online payments, and a small Macadamia credit on your page.

  • Core

    £15 a month

No commission, your own domain and no credit. For one physio.

  • Team

    £25 a month

Everything in Core, for several physios.

At around £375 a month in online bookings, Core costs less than Free. Paid plans start with a 30-day trial, and there's no charge until you go live, or 30 days, whichever comes first. Stripe's own card fees apply on every plan.

Questions

The main FAQ covers payments, your data and your domain in more detail.

Does Macadamia handle insurance billing?

No. It doesn't bill insurers or produce claim forms, so those stay with whatever you use now.

Can patients see my notes?

No. Notes are only visible to your practice, and with sensitive client records turned on they're encrypted and readable only by you, your admins and the physios who see that patient.

Can I correct a note after it's saved?

Yes. A correction is added as a new note, and the original stays visible next to it, so the record stays complete.

Can patients choose which physio they see?

Yes, on the Team plan. Each physio has their own hours and appointment types, and patients can pick one or take the first available.

Can patients move their own appointment?

Yes. From their login, patients can move an appointment to another free time, up to a deadline you set, and cancel within your notice period.
